RingCentral has the advantage of real-time analytics. These dashboards enable supervisors to monitor call volumes and talk time for particular agents and the whole team, which is helpful for companies seeking to track staff performance. Further, RingCentral integrates with over 300 apps, including some unique offerings such as Zendesk and HubSpot. While Zoom only offers a handful of integrations, it includes Salesforce on all plans, making it a great choice if your company relies on Salesforce data.

Zoom has the advantage in everything besides analytics. Its video meetings are feature-rich, and its app dashboard is more appealing and spacious. While RingCentral limits users to as few as 25 SMS per month, Zoom enables unlimited texting. Best of all, it’s cheaper. Zoom Phone is a better choice for a user-friendly and cost-effective phone system.

RingCentral and Dialpad are both unified communications platforms with voice, SMS and team collaboration with chat and video. They also stack up equally in terms of advanced call routing features and call queues that enable you to provide inbound customer service.

However, Dialpad stands out with its modern interface and AI-based features. It has the sleekest agent dashboard of any desktop I tried. Each plan includes real-time analytics—a feature generally reserved for high-tier plans—with customizable dashboards and appealing visual displays. Further, each Dialpad plan includes AI call transcription, giving agents live captions and text records of each conversation. This makes Dialpad a good fit for companies monitoring agent performance and supplying more targeted support and feedback.

However, Dialpad is cheaper than RingCentral, and both platforms are pricier than most alternatives. Dialpad’s video meetings also have a very restrictive 10-participant limit. This makes RingCentral a better choice if you want a more cost-effective platform for team collaboration.

RingCentral and Aircall are both feature-rich phone systems with all the customer-service functionality most teams will need: IVR menus, call queues and data analytics. Both platforms have call monitoring capabilities, which enable supervisors to observe real-time service quality by listening to agent calls.

Aircall lacks RingCentral’s collaboration channels but offers unique call center features such as a power dialer and queue callbacks. Power dialers streamline sales efforts by rapidly dialing down a campaign list. Automated queue callbacks enhance inbound customer support by letting customers hang up and leave a callback number, saving them from having to wait on the line.

Aircall includes CRM integrations on all plans, while RingCentral only includes them on higher-tier plans. If your team relies on Salesforce and wants to integrate it directly with your communication efforts, Aircall is a better choice. I also found Aircall’s desktop and mobile apps more spacious and pleasant to use than RingCentral’s.

However, Aircall is substantially costlier. It’s only worth the increased cost for teams seeking to go above and beyond with sales or customer service efforts. If you just want a simple phone system or team collaboration tool, you’re better off with a platform such as RingCentral or Google Voice.

The app’s live chat functionality lets you embed a chat window into your website or mobile app for live interaction or an automated chatbot. Nextiva’s phone system is solid as well, with strong call routing features and queueing.

While Nextiva’s channel variety may be too much for most teams, its social media and review site integrations unlock unique touchpoints to connect with customers. However, if you only need a phone system, RingCentral or Google Voice make more cost-effective choices than Nextiva.

RingCentral’s bells and whistles—such as team chat, video meetings, real-time analytics, call monitoring and routing tools—make it a great choice for companies seeking custom call distribution and ways to facilitate team collaboration.

On the other hand, Google Voice only includes essential features such as unlimited calling and texting, plus IVR menus and ring groups for call distribution. I preferred its minimalistic dashboard over RingCentral’s, which felt cluttered by comparison. Google Voice’s setup process was easier too, as it guided me through phone number selection and setting up IVR menus for the staff. Many teams will also benefit from Google’s unlimited SMS, compared to RingCentral’s restrictive SMS limitations.

While its Starter plan limits you to 10 users per account, Google’s Standard plan is still substantially cheaper than RingCentral’s lowest tier. It’s a clear winner for teams prioritizing value and simplicity or those with high SMS volumes. Also, as the only alternative enabling unlimited calling within Europe, Google is an excellent choice for teams based in Europe.
